What is Family Weekend?
Family weekend (also called parents weekend) brings families back to campus for a planned slate of events. See how schools run it without the agenda chaos.

Family weekend is the planned campus visit when parents, guardians, and relatives return to spend a weekend in the student's world — games, open classes, receptions, and a lot of "where do we park" questions. Many schools still call it parents weekend. The work is the same: a dense, multi-audience schedule that has to work for students who live there and guests who do not.
Here's the thing: almost nobody searches a generic definition. They search "ASU family weekend" or "UVA parents weekend." Those queries go to the school's own page. The opportunity for a glossary is the staff side — people building the weekend for the first time — and the families who land on a national result before they find their school. Write for both. Rank for the definition. Push campus teams to a product page that solves the weekend.
Key Characteristics of Family Weekend
- Two audiences, one calendar: Students want friends and freedom. Families want access, food, and a photo. The schedule has to serve both without making students feel chaperoned.
- Sports and tradition heavy: Football, homecoming-adjacent events, and department open houses drive attendance. Those events also create the worst wayfinding.
- Ticketed plus free: Some sessions need RSVP or paid tickets. Others are drop-in. Mixing them without a single guide is how you get lines at the wrong door.
- Hotel and parking pressure: Guests do not know campus. Maps, shuttles, and lot names belong in the same place as the concert time.
- Parent-program ownership: Parent and family programs usually own the weekend, but athletics, housing, and academic units each hold pieces. One app is how those pieces stop contradicting each other.
- High volume, short window: Two or three days. Staff cannot re-explain the schedule at every tent.
Family Weekend vs. Related Campus Events
Parents weekend
- Scope: Same event, older name. Use both terms in your public copy so searchers find you.
- Focus: Identical programming in most cases
- Goal: Do not run two brands. Pick a public name and treat the other as an alias.
Admitted Student Day
- Scope: Accepted students who have not enrolled yet
- Focus: Yield, not hospitality for current families
- Timeline: Spring, before May 1
- Goal: Convert admits — see admitted student day
New Student Orientation
- Scope: Incoming students, often with a parallel family track
- Focus: Transition and policy, not a social reunion
- Timeline: Summer or just before fall
- Goal: Onboard, then send families home
Family weekend is the reunion. Orientation is the launch. Admitted student day is the sale. If your parent office also runs a family track at orientation, reuse the same digital guide pattern — different content, same muscle.
Essential Components of Family Weekend
A single source of schedule truth
Print booklets are outdated by Friday noon. Weather moves a picnic. A speaker cancels. Put every session, map pin, and ticket link in one mobile guide and push the change. That is the difference between a parent in the right hall and a parent in your inbox.
Parallel tracks
Offer a family-facing track (financial aid office hours, safety, how to support from home) and student-facing socials that families are not expected to attend. Forced togetherness for 48 hours backfires.
Academic access
Open classes, lab tours, and faculty coffee hours give families a reason that is not only football. Department staff will only show up if you give them a room, a time, and a headcount.
Food that is not an afterthought
Guests will eat on campus. Publish hours and mobile order options. Nothing sours a visit like a closed dining hall after a 10 a.m. information session.
The Family Weekend Timeline
Nine to twelve months out
Hold hotel blocks and the athletics date. Align with homecoming if you share a weekend — or deliberately separate them if the campus cannot absorb both crowds.
Four months out
Open registration. Ask for accessibility needs and guest counts by session. Build the guide. Brief student ambassadors.
Two weeks out
Send parking, bag policy, and "what to wear to the game." Confirm dining hours. Load last-minute add-ons into the app, not a new PDF.
Monday after
Survey families and student workers separately. Track which sessions filled and which tents were empty. That data is how you defend budget next year. Use an event debrief template.
Why Family Weekend Matters
For event success:
- Fewer lost guests: Wayfinding and live updates are the whole game.
- Happier student workers: They stop being human signposts.
- Better academic turnout: Departments will repeat a session that was easy to find.
For campus objectives:
- Retention allies: Families who feel informed are less likely to pull a struggling student home in October.
- Advancement warmup: A well-run weekend is the first ask before a parent giving society.
- Ticket reduction: Parent programs exist to cut "call the dean" volume. A clear weekend does that in public.

Family Weekend Best Practices
- Use both names in metadata: Family weekend and parents weekend. Students' relatives will search either.
- Register by household, not only by student: You need guest counts for food and rooms.
- Give students an opt-out: Not every student wants family on the quad. A quiet alternative matters.
- Put parking first in the guide: It is the first failure point.
- Staff a family HQ: One tent with humans and a QR to the app beats 12 conflicting flyers.
- Caption the traditions: Guests do not know why everyone is wearing that color. One line in the schedule helps.
- Offer a Sunday morning exit: A coffee and a bookstore hour prevent a sour last impression.
- Train student staff on guest questions: "Where is the nearest restroom" is the real FAQ.
- Measure session fill, not only registrations: No-shows tell you what to cut.
- Follow up with one useful email: Academic calendar, counseling contacts, how to read the portal. Then stop flooding them.
Common Family Weekend Mistakes
Building it only around the game: If the team is away or the weather dies, you have no weekend. Always have indoor academic and social backups.
Leaving housing out of the comms: Families will walk into residence halls. Housing needs the schedule and the guest policy in writing.
Separate PDFs per department: That is how two events occupy one room. One guide, many hosts.
Ignoring students who work the event: They miss their own family time. Feed them and give them shifts that end.
No accessibility pass: Mobility, sensory, and language needs show up at the door if you did not ask at registration.
Final Thoughts
Family weekend is hospitality at campus scale. The ceremony is optional. The map is not. If parents can find the next hour without calling anyone, you won.
Build it on Guidebook for parent and family programs, or book an EDU demo and walk a real weekend agenda in the product.
